PRIVACY STATEMENT NORTH SEA BEACH RUGBY

DATE PRIVACY STATEMENT 30 OCTOBER 2026

WHO ARE WE?

North Sea Beach Rugby is an event of Stichting North Sea Beach Rugby (North Sea Beach Rugby Foundation), Zeestraat 70, 2518 AC The Hague, the Netherlands, registered with the Dutch Chamber of Commerce under number 64670112. We are responsible for the processing of personal data as described in this statement. Questions? Email rugby@northseabeachrugby.com.

WHICH DATA DO WE PROCESS?

  • Contact details of a team's contact person: first and last name, name of the club or company, phone number, email address and address
  • Team details: team name and category
  • Details of players and team staff: name, age or year of birth and federation number (registration number with Rugby Nederland)
  • Photos and videos taken during the event

WHY AND ON WHAT LEGAL BASIS?

  • Registration and organisation of the tournament: necessary for the performance of the agreement with your team.
  • Checking eligibility and age category: using the federation number, we check whether players compete in the correct age category and are eligible to play. This is necessary for the performance of the agreement and for a fair and safe competition.
  • Emails about the event: we send participating teams and staff information about the event, such as practical information, safety measures (for example in case of heat) and what is on offer at the event, such as meals and merchandise. Practical and safety information is part of your participation. You can unsubscribe from other messages at any time via the link in every email.
  • Photos and videos on our website and social media: our legitimate interest in covering and promoting the event. You can object to this at any time.

MINORS

Youth players from U8 to U18 also take part in our tournament. Youth teams are registered by a parent, guardian or team manager on behalf of a club or team. The person registering declares that they are authorised to do so and that the parents or guardians of all players are aware of this privacy statement and agree to their participation.

PHOTOS AND VIDEOS

Photos and videos are taken during the event, which we may use on our website and social media. Do you not want to be recognisable in images, or would you like a photo removed? Email us and we will remove it as soon as possible. We are particularly careful with images of youth players.

WITH WHOM DO WE SHARE DATA?

We never sell your data. We only share data:

  • with Rugby Nederland, insofar as necessary for checking eligibility, the Dutch Championship and reporting infringements. We only report infringements the federation needs, such as red cards and suspensions;
  • with Mijntoernooi.info, which we use to create the match schedule. It only contains team names, no player data. Team names are visible in the public match schedule and results;
  • with other service providers who process data on our behalf, such as our hosting provider, the registration system and the service we use to send emails. We make agreements with these parties about the security and use of data;
  • where we are legally required to do so.

We do not transfer data to countries outside the European Economic Area unless appropriate safeguards are in place.

HOW LONG DO WE KEEP DATA?

  • Data of players and team staff: until no later than one year after the event.
  • Data of team contact persons: until two years after the last participation, so that we can invite you to future editions.
  • Photos and videos: as long as they are relevant for our archive, or until you object.

YOUR RIGHTS

You have the right to access, correct or delete your data. You may also request restriction of processing, object to processing, request data portability and withdraw any consent given at any time. Send your request to rugby@northseabeachrugby.com. We will respond within one month.

Not satisfied with how we handle your data? You can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).
